Objective
This article provides an overview of the basic navigation, account settings, reporting tools, and compliance item tracking features available within your District dashboard in the IARSS Compliance System.
1. Profile & User Management
Managing Your Profile
You can update your personal settings by navigating to your profile area.
Managing District Users
If you are logged in as a District Administrator, you have the authority to manage your team's access:
You can add new users to your district portal.
When creating a user, you must designate their role as either a District Admin or a Staff Member. The only difference between theses two rolls is that the Staff Member can not manage users.
Superintendent accounts are auto created overnight from data provided by ISBE. If the superintendent info is incorrect please update it is IWAS.
2. Help Screen & Compliance Reports
The Help Screen & FAQs
Clicking the Help screen will open a legend explaining what the various portal icons and compliance statuses mean. Scroll to the bottom of the Help screen to view Frequently Asked Questions (FAQs).
Available Reports
The system provides several reporting tools to help your district stay organized. You can generate and print the following:
On-Site Questions Report: Shows all pending on-site questions that need to be completed.
Flag Changes Report: Highlights compliance items where flags/statuses have changed during the current year.
All Items Report: A comprehensive summary of all items. Many districts print this report out to distribute physically to staff members.
3. Tracking Compliance Years & Items
Changing the Compliance Year
You can view past compliance cycles using the year selector located at the top-left of the screen. Changing the year will update your dashboard to display historic data, progress dials, and overall compliance totals for that specific school year (e.g., transitioning from a new unstarted year back to a previous year marked "In Progress").
Document Management
Under the Documents section, you can review any paperwork associated with compliance items. The interface displays the full document name, extra metadata, and the exact upload date.
View: Click View to preview the file directly in the portal if you need to double-check its contents.
Download: Click the download option to save a copy of the document back to your computer.
Understanding Compliance Item Icons & Statuses
When browsing compliance items by their appropriate code, you can update their status by selecting In Progress, Yes, No, or Not Applicable. Keep an eye out for these visual indicators:

![]() | Indicates this item has been locked by a reviewer. |
![]() | A reviewer locks an item by clicking this icon. |
![]() | Indicates an item that must be addressed on-site by reviewer. Not editable by others. |
![]() | Flag used to help you know you need to come back to this. |
![]() | Indicates a new item for this school year. |
![]() | Indicates the item has been updated for this school year. |
![]() | Indicates the item in not being evaluated this year but is upcoming in future years. |
4. Summary & District Recognition
The Summary Page compiles the final elements of your compliance tracking:
Participants & Observations: Add list participants, track items marked with "no areas of concern," and input general observation notes.
Demographics & Recognition: Enter your district's demographic details. Your various facilities will populate at the bottom under the recognition section. (Note: A separate, in-depth guide is available specifically for managing the Recognition workflow).
