Responding to Inspection Violations (District & School Staff Guide)

When an HLS system inspection is completed, school district staff—including Superintendents, building administrators, and facility managers—must review and respond to any flagged violations. Once all violations are answered, the inspection is sent back to the ROE/ISC for final grading.

Step 1: Accessing Your Violations

There are two primary ways to access the violations for your facilities:

• Option A (Via Email Link): When the ROE sends a Response Notice, click the link directly inside the email. You can then log in using your district’s Google or Microsoft account to instantly view and respond to the violations.

• Option B (Direct Login): Go straight to https://hls.roeapps.org/ and log in using your Google or Microsoft credentials. Once authenticated, the system will automatically display all facilities associated with your user account profile.

Step 2: Navigating Your Dashboard

Upon logging in, your main dashboard will display a list of every facility you have permission to manage. For each building, you will see:

• The facility name.

• The current Response Status.

• The Inspection Date.

Click on the name of the facility you want to review to open its detailed breakdown.

Step 3: Reviewing and Clearing Violations

Inside the facility page, you will see a structured list of all the inspected locations within that building. Pay close attention to the following columns:

• Violations Column: This displays the total count of active violations recorded in that specific location.

• Answered Column: Look for a yellow triangle exclamation point (⚠️). If this icon is present, it means there is an outstanding violation in that location that requires a response from your team.

? Your Goal: You must click into each location containing a yellow triangle (⚠️) and submit a response for every open violation. Your ultimate goal is to make all yellow triangles disappear from the page.

Step 4: Submitting to the ROE

Once you have successfully responded to every single violation across all locations, the system will automatically return the inspection to your local ROE/ISC. This allows them to review your notes, verify compliance, and issue the final building grade.
